An AI receptionist that answers your shop's phone.

An AI phone receptionist for a small HVAC shop has three jobs: answer every call, get the caller's name, problem and callback number right, and never promise anything you haven't agreed to. What a call sounds like

A customer calls your business number. The receptionist answers in your shop's name and asks what's going on, who's calling and the best number to call back. It knows your business hours and what's already on today's and tomorrow's schedule, so when the caller asks "can someone come out today?" it can say the schedule shows room and take it down as a request. It doesn't confirm a time. You do.

When the call ends, the message lands on the box: who called, what they need, the callback number and a short summary.

It doesn't make things up

  • It never quotes a price or promises a booking. A request is a request until you confirm it.
  • It writes down the name the caller actually gave. If nobody said a name, the message says so. It won't turn a sentence like "I'm open tomorrow" into a customer called "I'm Open", and it won't invent a name the caller never said.
  • The message is the caller's words, summarized. The box files it; you decide what happens next.

Texts and photos too

Customers who text your business number get handled the same way. A photo texted in, like a data plate or a leaking fitting, gets read and filed with the customer like any other paperwork.

What you need to connect it

The phone line runs on your own Twilio account, in your business's name. The number is yours and you pay the phone company directly; DeskSentry doesn't resell phone service or sit in the middle of your bill. Texting also needs your business registered for business texting, which is a phone-carrier rule, not ours. The call itself travels over the phone network through Twilio like any phone call. Twilio turns the caller's words into text; working out what they need, the voice that answers, and filing the message all happen on the box.

Don't want to set up a phone account? The box still sends email, and every customer record has a tap-to-text button that uses your own phone.

What it doesn't do

  • It isn't a human answering service, and it won't talk someone through a gas leak. It takes the message; urgent calls are still yours to return.
  • It doesn't book firm appointments on its own or give prices over the phone.
  • It needs the internet. The records and the AI live on the box, but a phone line has to reach it.

Will the AI receptionist quote prices or book jobs?

No. It takes the caller's name, what they need and a callback number, and it can take a request for a time when your schedule shows room, but it never quotes a price or confirms an appointment. You do that.

Do I need a new phone number?

No. The line runs on your own Twilio account in your business's name, so the number stays yours.
