DeskSentry is a self-hosted business office assistant. This policy explains what information is collected when you use it, and — more importantly for a self-hosted product — what is deliberately not collected.
Who this is

What DeskSentry does with your business's information
A DeskSentry box is installed on hardware at the business's own location. Documents, photos, and messages you send to it — invoices, receipts, quotes, job photos, customer records — are read and organized by AI models running locally on that hardware, not sent to a third-party cloud AI service for processing.
Filed documents, customer records, and financial summaries are stored on that same local hardware, under the business's own control. DeskSentry does not sell this data, use it for advertising, or share it with any third party except where strictly necessary to operate the service, described below.
Text and photo messages (SMS/MMS)
If a business activates phone/text intake, messages sent to that business's number necessarily pass through Twilio, our SMS/MMS carrier, in order to be delivered — this is true of any text message sent over the phone network. Twilio's own privacy practices govern that transit; DeskSentry does not use Twilio to store, analyze, or share message content beyond delivering it to the business's own box for local processing.
Backups
Each DeskSentry box keeps nightly local backups, and a copy is also stored off-site on a separate, access-restricted server for disaster recovery, in case the local hardware is lost, stolen, or damaged. Off-site backups are retained for a limited period and are not accessible to anyone outside of restoring that specific business's own box.
Remote monitoring
DeskSentry's operator can see a basic operational log for each box — for example, that a document was received and filed, or that a backup completed — for support and reliability purposes. This log is deliberately built to never include financial amounts, customer names, vendor names, file contents, or any other identifying business data.
Your choices
- All filed business data lives on hardware the business owns and controls.
- A business can request deletion of its data, including off-site backup copies, at any time by contacting the operator.
- Text message recipients can reply STOP at any time to stop receiving messages from a DeskSentry number, or HELP for assistance.
Changes to this policy
This is an early-stage pilot service. This policy may be updated as the product and its legal entity evolve (see "Who this is" above); material changes will be reflected here with an updated date.
